What to include in your first fruit sourcing inquiry

A short, practical brief helps a supplier understand your order without slowing down the first conversation.

Start with the product and destination

Name the fruit or variety you want and the destination country. “Table grapes for wholesale in Malaysia” is a useful starting point. If you already know the variety, include it. If you are comparing varieties, describe your customers and sales channel instead of guessing a specification. This gives the sourcing team a clearer basis for checking suitable options.

Give a realistic quantity, even if it is provisional

An estimated quantity helps the team explore packing and shipment options. Make clear whether the number is a trial quantity, a planned container order or a recurring requirement. If you do not know the volume yet, say so. A preliminary inquiry can still start with your market and product needs; a firm quotation will need more detail later.

Describe the features that matter to your buyers

Fruit size, appearance, maturity and packing can all be part of the buying brief. Separate must-have requirements from preferences. A reference photo or a previous packing specification can be more useful than a broad request for “premium quality.” Ask the team to explain which points can be confirmed for the current origin and season.

Distinguish delivery timing from harvest timing

Tell the team when you want the fruit to ship or arrive, and identify which date you mean. A harvest calendar does not establish a delivery date or confirm stock. If the timing is flexible, provide a range and ask which origin options are worth discussing. Agree the actual schedule during the order conversation.

Keep the first conversation easy

A useful first message can be only a few lines: product, destination, approximate quantity and preferred timing. Add a contact name or company so the team knows whom to reply to. Packaging, quality checks and commercial details can then be worked through together. The goal is a clear starting point, followed by a quotation based on confirmed requirements.
